What Actually Needs to Be on an Invoice?

There is no single legally mandated invoice format in most countries. The IRS does not require a specific template, and most of Europe outside VAT rules does not either. What matters is that your invoice clearly communicates what was sold, for how much, and who owes whom.

Certain elements make invoices enforceable and useful in disputes: your name and contact information, your client's name and address, a clear description of the services or goods provided, the amount due with any applicable taxes broken out, payment due date, and a unique invoice number for your records.

Payment Terms Decoded

Net 30 means the full amount is due within 30 days of the invoice date. Net 0 (or "Due on receipt") means pay immediately. "2/10 Net 30" means the client gets a 2% discount if they pay within 10 days. For freelancers, shorter terms are almost always better — Net 15 or Net 0 keeps your cash flow healthier and reduces the chance of invoices going stale in a client's inbox.

Late Payment Fees

A 1.5% monthly late fee (18% annually) is common for US freelancers and small businesses. State the fee on the invoice before the work happens — you generally cannot add it retroactively. Most late payments result from lost emails or forgotten approvals, not bad faith. A brief, polite follow-up email at Net+5 days resolves the majority of outstanding invoices.

Invoice Numbering Best Practices

A consistent numbering scheme — such as INV-2024-001 — makes your records easy to search and looks professional to clients. Sequential numbers also make it immediately obvious if an invoice is missing from your records. Many accounting systems expect unique invoice numbers per vendor, so a random or duplicated number can cause payment delays when your client processes it.

VAT and Sales Tax on Invoices

If you are VAT-registered in the EU or UK, your invoice must include your VAT registration number, the VAT rate applied, the net amount, and the VAT amount separately. In the US, sales tax rules vary by state and sometimes by product category — if you are selling taxable goods, consult your state's revenue department on when to collect and remit. For B2B invoices crossing EU borders, the reverse charge mechanism typically applies: the buyer accounts for VAT, and your invoice should note "VAT reverse charge applies."
